WCAMS thrives thanks to the energy, talent, and passion of our volunteers. Whether you have two hours a month or want to lead a major project, there is a place for you to join our volunteer team!

You don't need to live in the Lower Mainland to help: meetings can be done on zoom, and many of our tasks involve phone calls, emails and/or writing or reviewing documents.

Immediate needs

Here are some tasks for which we currently need someone to take ownership:

Westmuse newsletter editor

Description: Solicit/gather articles for biannual newsletter, edit for grammar, length, relevance, and coordinate with board and Westmuse layout editor.

Time: About a month of emails and coordination, twice a year (in fall and spring), plus talking to people at camp.

Required skills:

  • Organization and email communication.
  • Experience as copy editor, or good writing skills

Note: there is currently a volunteer to do the layout and produce the actual newsletter; this job is primarily to gather material for the newsletter.

Facebook manager

Description: Manage the WCAMS facebook page.

Time: Periodically post to facebook page, respond to facebook messages.

Required skills:

  • Administration of an organization facebook page.
  • Able to identify/create non-copyright images to post.
  • Advising the Board on how best to use it to further our mission and vision would be an asset.
Bits & Bytes

Description: Produce mail-outs to membership about concerts or other items of interest to members

Time: 1-2 days about once a month

Required skills:

  • Comfortable using or learning Brevo, or other mail-out web application
  • Ability to create graphics from concert poster images
  • Ability to disseminate information from web page or emails and present in cohesive manner

 

 

Join a committee!

Our various committees investigate and implement a focus area of WCAMS. Here are a sample of committees and their mandates.

Governance

Description: Oversees and supports board operations, including succession planning; identifies, recruits and onboards new board members and volunteers.

Time: Ongoing

Required skills:

  • Knowledge of WCAMS organization and/or understanding of non-profit board governance
  • Able to think strategically
  • Able to organize and/or use volunteer info in docs & spreadsheets
  • Enthusiasm, approachability
Finance

Description: Review budgets, expenditures, financial statements and support the Treasurer in their role.

Time: Periodically throughout the year

Required skills:

  • Comfortable using spreadsheets, including creation/use of formulas
  • Detail-oriented
  • Accounting background would be an asset
Communications

Description: Responsible for all internal and external communications to members and the general public

Time: Ongoing; ramp-up before camp

Year-round activities

Description: Investigate and organize WCAMS activities beyond the summer music camp.

Time: A few meetings per year + investigation and implementation of one or more activities.

Required skills:

  • Organization
  • Ability to coordinate logistics of an event
  • Knowledge of local faculty and/or venues would be an asset
Rethink Camp

Description: A strategic team dedicated to reviewing, reimagining, and innovating our camp structures.

Time: A few meetings per year

Required skills:

  • Helpful to have attended several past camps
Camp Production

Description: Responsible for the planning and execution of the Summer Music Camp

Time: Ongoing; ramp-up before camp

Required skills: Camp Production is made of various committees and individual tasks. See below for a sample of tasks

Marketing & Publicity

Description: Keep members informed, attract new members to the organization.
Various activities:

Time: Ongoing; ramp-up before camp

Required skills: any and all of the following would be helpful

  • Design (Adobe or other similar products) to create publicity materials
  • Writing skills
  • Ability to connect with CBC, music organizations or other places to promote WCAMS and its activities
Camp Music

Description: Prepare all music for camp. This committee has various responsibilities:

  • Patiently and persistently work with faculty of large ensembles to obtain repertoire
  • Obtain music from IMSLP, borrow from other orchestras or rent/purchase
  • Organize printing of music, distribution and collection of borrowed/rented music
  • Send questionnaires to instrumentalist campers regarding their playing ability, organize chamber groups
  • Send instrumentalist faculty the list of campers playing their instrument, those who have been accepted to orchestra, and their chamber groups

Time: Several hours monthly throughout the year

Required skills:

  • Knowledge of the classical orchestral and chamber repertoire is an asset
  • Comfortable with basic technology: email & spreadsheets
  • High organizational skills, and ability to complete tasks in a timely manner
Camp Theatre Tech

Description: Organize MC, stage managers & lighting tech

Time: From May until/during camp

Required skills:

  • Able to recruit, organize people to be MC & stage managers for all concerts
  • Experience with theatre tech, in particular lighting board, an asset

 

 

Take on a Task!

If a committee seems like too much commitment, there are many individual jobs you could sign up for. Here are a sample of tasks which can take anywhere from a few hours to months to complete.

 

Communications committee

The Communications committee focuses on all methods of communication both internally with our members and campers, and externally to the general public.

Info Line

Description: Respond to phone & email enquiries to WCAMS

Time: Ongoing; minimal, but more active from March to July

Required skills:

  • Knowledge of WCAMS organization
  • Friendly, helpful, prompt responses
Facebook

Description: Manage the WCAMS facebook page.

Time: Periodically post to facebook page, respond to facebook messages.

Web development

Description: Update wcams web site, camp applications, camp evaluations and faculty contracts

Time: Several hours per month, more before applications open and after camp

Required skills:

  • Knowledge of html/css, javascript, php
  • Knowledge of google app scripts would be an asset
  • Local apache or other development environment + ftp
  • Design/presentation skills and/or ability to adhere to existing design
  • Knowledge of github or other version control system would be an asset

 

Camp Production Committee

The Camp Production committee has various sub-committees and tasks which focus on facilities, communication, music, registration, publicity,... Below are just some of the many tasks/sub-committees for the production of camp.

Venue Liaison

Description: Review venue contract, work with venue on details

Time: A few hours per month throughout the year

Required skills:

  • Detail-oriented, ability to critically review a contract
  • Organized, able to gather questions from Camp committees and get answers from venue
Secretary / Registrar

Description: Process memberships & accepted camp applicants, send invoices, respond to queries; coordinate with music and accommodation committees

Time: Intensive Feb-April + month before camp; occasional throughout the year

Required skills:

  • Competent using google spreadsheets (editing, formulas, using custom menus)
  • Basic knowledge of google app scripts would be an asset, but is not essential
  • Meticulous about accuracy; check work
  • Self-starter: follow-up on emails, timely invoicing and responses
  • Patient, friendly, and resourceful
Food Liaison

Description: Coordinate with venue caterers for meals & parties at camp

Time: A few hours in May/June/July

Required skills:

  • Able to select/suggest meals considering camper dietary restrictions
  • Able to estimate amounts
Coordinate Instrument Moves

Description: Coordinate the moving (to and at camp), and tuning of instruments

Time: A few hours in June/July

Required skills:

  • Able to rent a small van for moving instruments and other camp supplies
  • Drive or organize driver of van
  • Organize a team of volunteers to load/unload the van
  • Organize a team of volunteers to relocate keyboards at camp
  • Identify and organize tuning of some acoustic pianos
Accommodation

Description: Work with Application committee to place campers/faculty in dorms based on various criteria (roommate, physical limitations, large instrument,...)

Time: March-July

Required skills:

  • Comfortable working with google spreadsheet & drive
  • Meticulous, detail-oriented, triple check room assignments
  • Organize a team to check rooms, and print names & washroom signs on doors the day before camp
  • Be available to organize room changes during camp if necessary
Accessibility

Description: Address accessibility issues

Time: A few hours throughout the year

Required skills:

  • Organize a committee to evaluate accessibility issues
  • Coordinate with Venue
  • Ability to execute accessibility plan (e.g. rent a golf card, prepare signs,...)
Schedule & Concerts

Description: Plan the camp and concert schedule

Time: A few hours a month from March to July

Required skills:

  • Prior attendance at camp is an asset
  • Detailed thinker, able to plan given various constraints
T-shirts

Description: Solicit designs for camp T-shirt, organize judging committee, choose colour, coordinate with registrar and T-shirt printing company

Time: Meetings in January and May/June

Required skills:

  • Email and basic computer skills to save and email electronic designs
  • Able to organize a group of people, coordinate with others, and meet deadlines
Photos

Description: Organize camp photographers, collect photos, select/edit photos for smugmug, make camp album

Time: A few hours at camp, many hours in Sep/Oct/Nov to prepare photos and album

Required skills:

  • Knowledge of photography
  • Knowledge of dropbox, google drive or other photo sharing site
  • Knowledge (or ability to learn) smugmug interface
  • Knowledge (or ability to learn) Mixbook, blurb or other photo book sites; good design sense

Note: this job could be divided between two or three people:

  1. Organize photographers at camp, and collection of photos
  2. Sort, merge, edit photos and upload to smugmug
  3. Create photo album
Organize Rides

Description: Match those who offered to take people to camp with those living nearby who need a ride

Time: A few hours in May/June

Required skills:

  • Responsive on email
  • Able to work with a spreadsheet of campers offering/needing a ride
Nametags

Description: Prepare camper & faculty nametags

Time: A few hours in June/July

Required skills:

  • Able to work with a spreadsheet of faculty & campers
  • Able to print small size nametag cards
Collect Waivers

Description: Contact parents/chaperones of children and youth to collect waiver forms

Time: Several hours in May/June/July

Required skills:

  • Highly organized and detail-oriented
  • Good with communication and following up
